SUMMARY/SCOPE: Serves as a student worker to the Alumni Engagement Office, as a valuable member of the Alumni Engagement team. Works under supervision of the Associate VP for Alumni Engagement and the Assistant Director of Alumni Engagement.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Perform basic student worker job functions (campus mail run, answer phones, run errands) for Alumni Engagement plus assist with event management (homecoming, reunions, campus activities, etc.).

Must be able to utilize Microsoft Office Suite proficiently.

Provide outstanding customer service to all guests who come in contact with the Alumni Office.

Perform filing for each aspect of Alumni Engagement, including daily operations.

PROFESSIONAL QUALITITES:

Must be able to work as a member of a team to accomplish the overall requirements of the Alumni Engagement Office.

Must be a self-starter; attention to detail important. Must be able to maintain confidentiality of personal records and alumni information.

Seeks to constantly upgrade skills and improve performance.

Sets high standards for accuracy/productivity.

Must maintain professionalism in attitude, dress, actions, and relationships.

The ideal candidate for this position will possess the following skills or capacities:

  • Ability to communicate effectively verbally and in writing with alumni & other guests in person, over the telephone and via email/Facebook
  • Ability to research/create/develop social media posts for Facebook/Instagram
  • Demeanor that is friendly and welcoming toward campus guests
  • Skills in organizing information and maintaining paper and electronic files
  • Skills in or capacity for using various computer software programs

PHYSICAL REQUIREMENTS:

Moderate lifting required (10-25lbs). The Alumni Office is a two-story building.

ADDITIONAL INFORMATION:

Computer skills – Must have experience with a variety of computer programs, including word, spreadsheet, data-base manipulation, e-mail/website general use. Microsoft Office Suite and mainframe skills desired. On-the-job training provided to applicants displaying strong computer skills.

Customer Service -Must have customer service experience with the ability to meet, greet, and assist the general public, alumni, and HSU faculty and staff when they call on the phone or enter the office location. A positive, team-oriented attitude and a strong work ethic are a must.

Student Work Hours – Though the university permits students to work up to 15 hours per week; the average Alumni Office student worker works 8 – 10 hours. Must be willing and available to work weekends/evenings with advanced notice (these hours are in addition to regularly scheduled hours). Availability during Homecoming weekend is requested. We are willing to work around student organization obligations. Summer availability requested (hours can be worked out around summer classes as needed).

Must be available to work sequential semesters; preference is given to sophomores and juniors.

Professional Development – Must be able to work as a member of a team but also independently on one’s own projects. There are multiple student workers within the Alumni Engagement office.
